The Role:

We’re seeking an Executive Assistant to join our team on a temporary maternity cover (9 months). This person will report to the SVP Global Head of Communications and to our EMEA General Manager and will provide outstanding daily administrative support and be energized by working in a fast-paced environment. This is a perfect role for someone who takes the initiative, is intuitive and thinks strategically. 

This will be a hybrid role based out of our central London office.

In addition to managing complex calendars and schedules, you will work with cross-functional global leaders and provide high-caliber administrative support to help us execute company projects and goals. Your creativity, passion, and organizational skills will be critical in supporting team off-sites, culture, and special events. The team is distributed across various locations in the US and EMEA region and the globe so we are looking for someone that can help build and lead the culture of our team in a remote working environment.

Administrative Support:

  • Coordinate and manage two busy Executive Calendars, including scheduling meetings, appointments and travel arrangements.
  • Prioritize and ensure efficient use of the Executives’ time
  • Regularly update and maintain calendars’ entries, considering time zone differences and potential conflicts
  • Arrange meeting logistics, such as booking rooms, arranging video conferencing and catering where required
  • Build team presentations, meeting agendas, maintain meeting notes, and optimize meetings for different time zones to support our distributed global team
  • Ensure responsiveness and have a strong sense of urgency for timely communication and take the initiative to keep stakeholders informed
  • Coordinate domestic and international travel and provide ongoing support such as rebooking flights and/or handling unexpected changes
  • Perform monthly expenses reconciliation on Workday 
  • Create and help facilitate onboarding plans for new team members and leaders
  • Prioritize, multi-task, and handle a continuously evolving environment
  • Ensure a high level of confidentiality and professional integrity

Events & Special Projects:

  • Support with office maintenance duties as required
  • Manage projects and communication by providing status updates and ensuring that cross-functional partners are included in meetings and communications
  • Work with department leaders to establish a budget allocation to cover team needs, manage team budgets, and coordinate expense management
  • Partners with cross-functional teams to plan and execute team offsites
  • Identify the team’s learning and training opportunities and partner with our Talent Development team to work on resources or communicate training needs
  • Complete other duties as assigned

You have:

  • 2 to 4 years of work experience supporting at the executive level
  • Experience supporting global teams  in multiple time zones  is a plus
  • You are proficient in using Google Suite and other collaboration tools such as Slack
  • You can juggle multiple responsibilities with unwavering attention to detail at all times
  • You have excellent communication skills and match your communication style to the specifics of the situation and the type of audience
  • You are a creative problem solver. We are not a “one size fits all” company and are not looking for off-the-shelf solutions. You think on your feet and find solutions to problems that are anything but clear-cut
  • You are a Self Starter and love to work autonomously and meet/anticipate deadlines. You can identify gaps and streamline processes with little to no guidance from others. You use your initiative to make decisions in an ambiguous environment and promptly
  • You act with total discretion, integrity, and diplomacy and apply sound judgment in responding to circumstances
  • Ability to adapt to ever-changing priorities 
  • Excellent time management skills
  • Team player

This salary will be subject to a geographic adjustment (according to a specific city and state), if an authorization is granted to work outside of the location listed in this posting.
